Refund Policy
This Refund Policy applies to online fee payments made through the Vidya Niketan student fee payment portal at system.vidyaniketan.co.in. For fee refunds related to a student's withdrawal or Transfer Certificate, please refer to our Transfer Certificate & Withdrawal Policy.
1. General Policy
School fees paid online (tuition fees, admission fees, transport fees, and other applicable charges) are generally non-refundable once processed, except in the specific circumstances described below.
2. Duplicate or Erroneous Payments
If a payment is made twice by mistake, or an incorrect amount is charged due to a technical error on the payment gateway, parents/guardians should contact the school's accounts office within 7 days of the transaction with the payment reference number and transaction receipt. Verified duplicate or erroneous payments will be refunded to the original payment method within 10–15 working days.
3. Failed Transactions
If an amount is debited from your account but the payment status shows as "Failed" or "Pending" on our portal, please do not attempt the payment again immediately. Such amounts are typically auto-reversed by the bank/payment gateway within 5–7 working days. If the amount is not reversed within this period, please contact the school's accounts office with your transaction details.
4. Admission Fee
The one-time admission fee, once paid and admission confirmed, is non-refundable, except where the school is unable to offer the seat due to reasons attributable to the school.
5. Withdrawal-Related Refunds
Refunds of tuition or other fees on account of a student's withdrawal from the school are governed separately by our Transfer Certificate & Withdrawal Policy, which sets out the applicable notice periods and pro-rata refund terms.
6. How to Request a Refund
To request a refund for a duplicate, erroneous, or failed transaction, please contact:

Please include the student's name, class, transaction ID/reference number, date of payment, and amount when raising a refund request.
7. Processing Time
Approved refunds are processed to the original payment method (card, UPI, or net banking account used) within 10–15 working days from the date of approval. The exact time for the amount to reflect in your account may vary depending on your bank.
8. Changes to This Policy
We may update this Refund Policy from time to time. Any changes will be posted on this page with a revised "Last Updated" date.
