We understand that families may need to relocate, change schools, or make other important decisions about their child's education. Vidya Niketan is committed to making the Transfer Certificate (TC) and withdrawal process as smooth, respectful, and transparent as possible.

This page outlines everything you need to know β€” from the notice period and required documents, to the refund policy and timeline for receiving your child's TC and academic records.

Important Notice TC requests for Class X and Class XII students during board examination months (February–May) are subject to additional review and may be delayed until examination formalities are complete. Please plan accordingly.
Step-by-Step
How to Apply for a Transfer Certificate

Follow the steps below to initiate the TC and withdrawal process at Vidya Niketan. The entire process, from application to issuance, typically takes 10–15 working days when all documents are in order.

Submit Written Application
The parent or legal guardian must submit a written TC application to the school office, addressed to the Principal. Applications can be submitted in person or via email to the school's official address. Verbal requests are not accepted.

Acknowledgement & Review
The school office acknowledges the application within 2 working days. The Principal's office reviews the application and issues a No-Dues Clearance Form to the parent, listing all departments that must clear the student.

Complete No-Dues Clearance
The parent collects signatures from all relevant departments β€” Accounts (fees), Library (books), Sports (equipment), and Class Teacher (school property). All pending dues must be settled in full before proceeding.

Submit Documents & Clearance Form
Submit the completed No-Dues Clearance Form along with all required supporting documents to the school office. The checklist of required documents is listed in the section below.

TC Issued Within 7 Working Days
Upon successful clearance, the Transfer Certificate is signed by the Principal and issued to the parent within 7 working days. The TC is issued free of charge. A copy is retained in the school's records.

Collect Academic Records
Along with the TC, parents may collect the student's progress reports, mark sheets, and character certificate. Originals of admission documents submitted at the time of enrollment are also returned at this stage.

Fee refunds on withdrawal are governed by the timing of the application relative to the academic calendar. The following policy applies to tuition fee paid for the current term. One-time admission and development fees are non-refundable under all circumstances.

Withdrawal Policy Rules
Key Rules to Remember
  • TC applications must be submitted at least 15 days before the intended last day of attendance.

How long does it take to get the TC?
The TC is issued within 7 working days of submission of the completed No-Dues Clearance Form and all required documents. The full process, from application to TC in hand, typically takes 10–15 working days when everything is in order.
Can I apply for TC via email or WhatsApp?
The initial written application can be emailed to the school's official email address. However, the physical submission of documents, collection of No-Dues signatures, and final collection of the TC must be done in person at the school office.
Is the TC issued free of charge?
Yes. The original Transfer Certificate is issued free of charge. A duplicate TC (in case of loss) requires a notarised affidavit and a nominal processing fee of β‚Ή200.
Will the school send the TC directly to the new school?
No. The TC is handed directly to the parent or legal guardian. The school will not send the TC to another school without explicit written consent from the parent. The parent is then responsible for submitting the TC to the new school.
What if my child has pending fees β€” can I still get the TC?
No. The Transfer Certificate will not be issued until all outstanding dues β€” including tuition fees, fines, library charges, and any other amounts β€” are fully paid. The accounts department must sign off on the No-Dues Clearance Form before the TC process can proceed.
Can I withdraw my child in the middle of the board exam year?
Withdrawal during Class X and Class XII board examination months (February to May) is subject to additional review. If a student is registered for the board exam, the TC may be deferred until after the examination. Parents are advised to plan well in advance for such cases.
Will I get a refund of fees if I withdraw mid-year?
Refund of tuition fee depends on the timing of withdrawal β€” 75% refund before 30 June, 50% refund from July to September, and no refund from October onwards. The security deposit (β‚Ή2,000) is fully refundable. Admission, development, lab, library, and sports fees are non-refundable.
What documents will I receive along with the TC?
Along with the TC, you will receive the student's latest progress report or mark sheet, a character certificate, and all original documents submitted at the time of admission (such as birth certificate, previous school TC, etc.). These are returned at the time of final collection.
